At Talk360, we care deeply about your privacy. When you apply for a role with us, you trust us with your personal information. This policy explains what data we collect during our recruitment process, why we collect it, how long we keep it, and what rights you have.
This policy applies exclusively to candidates applying for a position at Talk360 B.V. It does not govern how we handle the personal data of our customers or app users, for that, please refer to our Customer Privacy Policy at www.talk360.com/legal/privacy-policy.

Talk360 provides affordable international calling to any mobile or landline in the world, connecting people across borders without requiring the receiver to have internet access. We are a purpose-driven company committed to making communication accessible to everyone.
For the purposes of this policy, Talk360 B.V. is the data controller responsible for the personal data you provide during the recruitment process. What personal data we collect
Depending on the role and stage of the process, we may collect the following categories of personal data:
Data you provide directly
Full name, email address, phone number, and location / country of residence
CV/resumé, cover letter, and portfolio or work samples
Information about your employment history, education, and professional skills
Links to professional profiles such as LinkedIn or GitHub (if provided)
Salary expectations, notice period, and availability
Responses to application questions or take-home assessments
Any other information you voluntarily share during the process
Data generated during the process
• Notes and evaluations from interviews and hiring team discussions
• Results of skill assessments or structured exercises
• Reference check information (with your prior knowledge)
Data from third-party sources
• Publicly available professional profile information (e.g. LinkedIn)
• Information provided by recruitment agencies acting on your behalf
• Information provided by referees you have nominated
• Where we obtain personal data about you from sources other than you directly, such as recruitment agencies, referees you have nominated, or publicly available professional profiles, the categories of data we obtain are those described above. We will tell you the specific source of that data on request.
We do not collect or request special categories of personal data (such as health information, ethnicity, or religious beliefs) unless we have a lawful basis to do so under Article 9(2) GDPR and the Dutch GDPR Implementation Act (UAVG), for example where necessary to comply with employment law obligations. Where we carry out any voluntary diversity or inclusion monitoring, we will do so only on the basis of your separate explicit consent, and your responses will not affect the assessment of your application.
Why we collect your data
We use your personal data for the following recruitment-related purposes:
• To review and assess your application, qualifications, and suitability for the role
• To communicate with you throughout the hiring process
• To schedule and conduct interviews and assessments
• To carry out background or reference checks where applicable and with your knowledge
• To verify your right to work in the relevant country, where required by law
• To make informed, fair, and consistent hiring decisions
• To maintain records and improve our recruitment practices over time
• To comply with our legal and regulatory obligations
With your explicit consent, we may also retain your profile in our talent pool to consider future vacancies that match your skills and experience.
Legal basis for processing
We rely on the following legal bases under the General Data Protection Regulation (GDPR):
• Pre-contractual necessity (Article 6(1)(b)): Processing is necessary to take steps at your request before entering an employment contract, for example, to assess and progress your application.
• Legitimate interests (Article 6(1)(f)): We have a legitimate interest in operating an effective and fair recruitment process, maintaining talent pipelines, and protecting our organisation. We have balanced this against your privacy interests.
• Legal obligation (Article 6(1)(c)): In some cases we must process your data to comply with applicable employment or immigration law, for example to verify your eligibility to work.
• Consent (Article 6(1)(a)): Where we ask your permission to retain your data for future roles or talent pool purposes, we will rely on your freely given, specific, and informed consent. You may withdraw consent at any time.
• Where we rely on legitimate interests, we have carried out a balancing assessment weighing those interests against your rights and freedoms. You may request further information about this assessment by contacting our DPO at dpo@talk360.com
Who has access to your data
Your data is treated with strict confidentiality. It is accessible only to those who need it for recruitment purposes:
• Our internal People & Talent team managing the recruitment process
• Hiring managers and panel members involved in assessing your candidacy
• Other Talk360 employees on a strictly need-to-know basis
• Third-party service providers who support our hiring, such as our Applicant Tracking System (ATS), video interview platforms, or assessment tool providers
• Recruitment agencies engaged to source candidates, where applicable
All third-party processors are bound by data processing agreements that require them to protect your data in accordance with GDPR standards. We do not sell, rent, or share your personal data with unrelated third parties for marketing or commercial purposes.
Some of our third-party service providers (for example, our Applicant Tracking System, video interview, or assessment platforms) may process your data outside the European Economic Area (EEA), including in the United States. Where data is transferred outside the EEA, we ensure an adequate level of protection by relying on a European Commission adequacy decision or, where none applies, on appropriate safeguards such as the European Commission’s Standard Contractual Clauses, together with any supplementary measures required. Automated Decision-Making and Profiling
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing, including profiling. Where our recruitment tools (such as our Applicant Tracking System or assessment platforms) use any automated features to help organise or evaluate applications, a member of our People & Talent team always reviews and makes the final hiring decision. If this position changes, we will inform you and explain the logic involved, the significance of such processing, and your right to obtain human intervention, to express your point of view, and to contest the decision.
How long we keep your data
If your application is unsuccessful, we will delete your personal data within four (4) weeks of the conclusion of the relevant hiring process, unless you have given us your explicit consent to retain it for longer (see the talent pool provisions below). Where you consent, we may retain your data for up to twelve (12) months. Retaining data for this limited period allows us to:
• Respond to any queries or disputes about our recruitment decisions
• Consider your profile for other suitable roles that arise in the near term (subject to your consent where required)
After this period, your data will be securely deleted or anonymised.
If you are offered and accept a position at Talk360, your recruitment data will be transferred to your employee record and governed by our internal HR privacy practices.
If you have consented to be added to our talent pool, we will retain your data for up to 12 months, after which we will seek your renewed consent or delete your data.
Your rights
As a data subject under the GDPR, you have the following rights in relation to your personal data:
• Right of access: You may request a copy of the personal data we hold about you.
• Right to rectification: You may ask us to correct any inaccurate or incomplete data.
• Right to erasure: You may request that we delete your personal data ('right to be forgotten'), subject to any overriding legal obligations.
• Right to restriction: You may ask us to restrict processing of your data in certain circumstances.
• Right to object: You may object to processing based on legitimate interests.
• Right to withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
• Right to data portability: You may request your data in a structured, commonly used, and machine-readable format.

Data security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction, or disclosure. Access to candidate data is restricted to authorised personnel and third-party processors operating under strict confidentiality obligations.
Changes to this policy
We may update this policy from time to time to reflect changes in our recruitment practices or applicable law. Any significant changes will be communicated to active candidates. The current version will always be available on our careers site.
